Voting System Outline

 

Once the member receives their initial Registration Letter, they can go to the web address of the Registration page and sign up.

Registration page web address is: http://www.bcpba.org/links/register

The above web address actually redirects the user to a longer url which is in a secure directory on the server. https://secure.bcpba.org/members/register-to-vote.html

For a member to register, they must enter their email address and the PIN Number that was provided to them in the Registration Letter.

They also create a username and password from the same form.

After all fields are complete, they click the Submit button to submit the form. After submitting the form, they receive an email with a confirmation link for them to click on in order to complete the registration process. After which, they can login to the system and view all the information on the pages of the voting site.
The confirmation email also provides the web address to log in to the voting system. That web address is: http://www.bcpba.org/links/voting

Once again, this is a web address that redirects the user to the secure login page, which is:
https://secure.bcpba.org/members/index.html

Information the Member Sees After Logging In

Once the member has logged in, they have access to any and all information that pertains only to the agency they belong to. They cannot see information that is available to other agencies. Only their own.

The information they have access to is as follows.

Nomination requests within their own agency and the ability to submit nominations.

Current elections within their own agency and the ability to cast their vote.

Current surveys within their own agency and the ability to cast their vote.

Archived listings of the above mentioned items.

Current ongoing statistics of the above mentioned items.

Their own account information where they can view and print items they have participated in and also where they can edit their personal information and change their password.

For proof and record keeping, emails are sent to the BCPBA whenever an account update occurs.

News items and electronic downloadable documents in PDF format.

And finally a full support center page where they can submit requests for assistance, as well as read any documentation that the BCPBA sees fit to provide in the support area.

 

Submitting a Nomination

After the member receives an email, and/or a form letter, informing them of a new nomination request, the user logs in and sees a mention of the nomination on the home page of the BCPBA Member Voting System website that also includes a link to click on in order to view information about the nomination.

They are also presented with a dropdown list, as well as a search tool, in order to find the member from their own agency that they would like to submit a nomination for.

After submitting a nominatin, they are presented with a confirmation page that includes a second Submit button, where they can change their nomination information, submit their nomination, or cancel the nomination all together.

After the member has submitted their nomination, they are given one last opportunity to print the information for the nomination they submitted. They also receive an email with the same information.

After the nomination is submitted and the user has left the information page. The information about the actual choice they made is no longer available for printing, but they can still print out the fact that they submitted a nomination. This protects the anonymity of the process.

 

Submitting a Ballot for Election

After the member receives an email, and/or a form letter, informing them of a new ballot request, the user logs in and sees a mention of the election on the home page of the BCPBA Member Voting System website that also includes a link to click on in order to view information about the nomination.

They are also presented with the available nominees that they can vote for.

After submitting a ballot, they are presented with a confirmation page that includes a second Submit button, where they can either change their ballot, submit their ballot, or cancel the ballot all together.

After the member has submitted their ballot, they are given one last opportunity to print the information for the ballot they submitted. They also receive an email with the same information.

After the ballot is submitted and the user has left the information page. The information about the actual choice they made is no longer available for printing, but they can still print out the fact that they submitted a ballot. This protects the annonimity of the process.

 

Submitting a Survey

After the member receives an email, and/or a form letter, informing them of a new survey request, the user logs in and sees a mention of the survey on the home page of the BCPBA Member Voting System website that also includes a link to click on in order to view information about the survey.

They are also presented with the available choices that they can select.

After submitting a survey, they are presented with a confirmation page that includes a second Submit button, where they can either change their survey, submit their survey, or cancel the ballot all together.

After the member has submitted their survey, they are given one last opportunity to print the information for the survey they submitted. They also receive an email with the same information.

After the survey is submitted and the user has left the information page. The information about the actual choice(s) they made is no longer available for printing, but they can still print out the fact that they submitted a survey. This protects the annonimity of the process.
